Setting Up Auto-Reply

To set up automatic reply for an e-mail address:

  1. You will need to login to your Control Panel to create or remove email accounts. (This is typically not the same login as your website’s back-end admin). You can reach your Control Panel login screen by going to: http://www.YOURDOMAIN.COM/cpanel  – if you do not have login username/password, contact our support department for assistance.
  2. Open properties for the email account you are working on by clicking the blue name of the email address
  3. Go to the Auto-Reply tab
  4. Select the Switch on auto-reply checkbox, and specify the following settings:
    • Auto-reply message subject. Adjust or leave as default (Re: <request_subject>)
    • Message format. We recommend that you leave the option Plain text selected because some of your recipients might be unable to see the text formatted with HTML.
    • Encoding. We recommend that you leave the UTF-8 encoding selected to ensure that the letters in your message are displayed properly.
    • Message text. Add custom message if needed: eg “Out of the office through the end of December. I will return emails once I get back”
    • Forwarding address. If you want to forward incoming messages to another e-mail address, type an e-mail address in this box.
    • Reply Frequency. We recommend 1. Send an automatic response to a unique email address no more than 1 times a day.
    • Switch off auto-reply on . enter data at which system should disable auto-reply
  5. Click OK. Note: if your fields are not filled correctly, you will get an alert next to the offending field, and it will not save settings until corrected.

To switch off automatic reply for an e-mail address:

  1. See Step 4 above, for presettign a date to Switch off auto-reply.  OR
  2. You will need to login to your Control Panel to create or remove email accounts. (This is typically not the same login as your website’s back-end admin).   3. Open properties for the email account you are working on by clicking the blue name of the email address
  4. Go to the Auto-Reply tab
  5. To switch off automatic reply, clear the Switch on auto-reply checkbox, and click OK.
